Privacy notice
We are open about what personal data we process, why we process it and what your rights are. We process only the data needed to manage memberships and run the training.
This is an English translation provided for information. If the versions differ, the Finnish version prevails.
Data controller
Mental Health Club Oy (a Finnish private limited company). For data protection matters, you can contact us at info@mentalhealthclub.fi.
What data we process
- Contact details: name and email address (for signing in and for communication).
- Membership data: membership status, payment method and participation in the training.
- Payment data: payments are processed by Stripe. We do not see or store your card number.
- Usage data: cookie-free visitor analytics that does not identify individuals, used to improve the website.
- Answers to the in-depth profile questionnaire in the therapist search: sensitive data, processed only with your consent (see below).
How we use data and on what legal basis
We use the data to manage memberships, deliver the training and communicate with members. The legal basis for processing is the contract (your membership) and, where needed, your consent. We do not use the data for direct marketing without your permission, and we do not sell it to third parties.
Service providers
We use trusted service providers: Stripe (payments), Resend (email), and Supabase and Vercel (technical platform and database). They process data on our behalf under a contract and in accordance with data protection law.
Website chat assistant
The website may have an AI chat assistant that answers questions about MHC’s services. If you send it a message, the text of your message is sent to an AI service (OpenAI or Google) for processing so that a reply can be generated. Do not write sensitive or health-related information in the chat. The assistant is intended for general advice. It is not intended for personal guidance or treatment.
Therapist search questionnaire and in-depth profile
The therapist search has two options. Answers to the Quick match questionnaire are not stored at all: they are processed briefly to suggest suitable professionals and then discarded immediately.
The In-depth Empathic Realism (ER) profile processes the answers you give so that we can create a personal profile and show it to you. When the profile is free of charge, your answers and the profile are not stored: the profile is shown to you, and you can download it and, if you wish, send it yourself to a professional of your choice. When the profile is paid for (€19.90), it is stored without your name for 30 days and linked to the payment reference, after which it is anonymised. Because the questions concern your mental wellbeing, the processing is based on your explicit consent (Article 9 of the GDPR), which you give before you start the questionnaire.
The data is processed in our matching service within the EU. If your profile has been stored, you can ask us to delete it at any time by emailing info@mentalhealthclub.fi.
Anonymous visitor statistics
We measure the use of the public website without cookies and without storing personal data. For each page view, we store the page address, the traffic source, the country code, the device type and the time spent on the page. To count visitors, we use an anonymous identifier that changes daily and is calculated at the time of the visit from the IP address and browser information. The IP address is not stored, and the identifier cannot be linked to a person afterwards. The raw statistics data is deleted after 13 months at the latest.
We measure the results of our advertising without using cookies. When you come to the website from a Google ad, the ad’s click identifier is carried in the page address to the end of the purchase process, and when a membership is bought, Google is told that this click led to a purchase. We do not set advertising cookies, we do not use personalised advertising, and Google’s consent mode is set to “denied” by default.
Newsletter subscriber register
We process the following data about newsletter subscribers:
- First name (if you give it) and email address.
- The time of subscription and consent, and your IP address as proof of consent.
- What you have subscribed to, for example notifications of new blog articles.
- Data on email opens and link clicks, collected through the Resend service.
The legal basis for processing is your consent: your subscription starts only when you confirm it using the link sent to your email address. We keep the data for as long as you are subscribed. When you unsubscribe, your data is automatically deleted from the register within 90 days. Unconfirmed subscription requests are deleted within 30 days.
There is an unsubscribe link at the end of every newsletter, and it ends your subscription immediately. You can also ask us to delete your data by emailing info@mentalhealthclub.fi. Resend handles the technical processing of the emails, and the data is located in the EU.
Applications
When you apply directly to the MHC Brief Therapist year, or apply to join our therapists as a qualified therapist, we process the information you give in your application: name, email address, phone number (if you give it), training, experience and your reasons for applying. In a therapist’s application, we also process your professional title, the town or city where you see clients and your website, if you give it. We do not ask for health information.
The legal basis for processing is your consent, and the purpose is to process your application and to contact you. Applications are read by Mental Health Club’s trainers. We keep an application for 12 months from the decision, after which it is deleted. You can ask us to delete your data at any time by emailing info@mentalhealthclub.fi. Resend handles the technical processing of the emails.
Retention period
We keep data for the duration of your membership and, after that, only for as long as the law requires (for example, for accounting purposes). When the data is no longer needed, we delete or anonymise it.
Your rights
You have the right to access the data about you, to ask for it to be corrected or deleted, and to object to its processing. Please send requests to info@mentalhealthclub.fi. You also have the right to lodge a complaint with the Office of the Data Protection Ombudsman in Finland.
Cookies
We use only cookies that are strictly necessary for the website to work, such as the session cookie used for signing in. Our visitor analytics does not use cookies and does not link visits to any individual person.
